Read the salon's day from the calendar, not the notebook on the counter.

You tie a booking to a staff member, an hour and a service, and the service's duration decides when it ends. If the client prefers, they pick their own slot from the same calendar on your web page.

Who it is for

For salons that have to ask the notebook on the counter how full the day is, and only see the empty slot afterwards.

  • Barbers and hairdressers keeping the booking notebook on the counter
  • Skincare centres where several specialists work the same time slot
  • Waxing and treatment salons calling clients back at set intervals
  • Salon owners who want clients to pick their own slot from the web page

The calendar opens day by day and person by person

You run the salon's day from the calendar: a single day with staff columns, and the week and the month as a whole. The same bookings can also be read as a plain list laid out under day headings.

  • In the single-day view every staff member has their own column
  • You move between month, week and day views
  • The list view lays bookings out day by day and hour by hour
  • The staff filter narrows the calendar down to one person
  • The calendar's start time, end time and booking interval in minutes are set to suit the salon

The booking is tied to a service, and its length comes from there

When opening a booking you enter the staff member, the date and the start time, then pick which service will be given. Because the end time comes from the Duration field on the service card, you never work out the length by hand.

  • Staff member, date and start time are the booking's three fixed fields
  • The end time fills from the duration of the chosen service
  • If the client has a package, the remaining entitlement shows next to the booking
  • A title and a note can be added to the booking, and both stay with the record
  • When a client is selected, their phone, tags and balance appear on the same record

A booking does not hang in the air; its status is on the record

When the client arrives, the booking is marked Arrived; when they do not, No-show, and when it is called off, Cancelled stays on the record. If you will be calling the same client back at intervals, you set the booking up as a recurring series.

  • Statuses run as Pending, Arrived, No-show and Cancelled
  • A recurring booking is set up weekly, monthly or yearly
  • You give the repeat count and the interval, and the series lays itself out accordingly
  • The staff clash check stops a second record landing on the same hour
  • Appointment History columns: Date, Time, Staff, Service, Status

Let the client pick their own slot from your web page

The services you publish on your web page open up for online booking; the client picks the service and the specialist, then marks their own slot on the calendar. Once they leave their details and finish, the booking lands in the salon's calendar.

  • The Publish on web page and Show in online booking flags on the service card decide the list
  • The online title, web description and sort order give the service its look on the page
  • The client picks the service and specialist first, then the day and the time
  • If prepayment is required, a payment step is added to the flow
  • When the reminder notification is on, the reminder's hour is set to suit the salon

What changes

The same day runs two different ways, with a notebook and with a calendar:

Only whoever answers the phone knows about the bookingThe whole team opens the same calendar at the same time
An empty slot is found by leafing through the notebookThe empty slot is visible in the staff member's column
When a booking will end is worked out by handThe end time fills itself from the service's duration
How many sessions are left on a package is counted afterwardsThe remaining entitlement is written beside the booking record

Frequently asked

What does salon booking software do?

It keeps the salon's day in a form where who is busy at which hour is clear. In Bi'Salon a booking is tied to a staff member, an hour and a service, and that service's duration decides the booking's length. You read the day, the week and the month from the calendar, and lay the same records out as a list.

Do I have to enter the booking's end time by hand?

No. When you pick the service, the end time fills from the Duration field on the service card. If the same treatment takes a different length of time for different people, a per-staff duration is written on the service card; we covered defining duration and price on the services and packages page.

Can clients book their own appointments?

Yes. In the booking flow on the salon's web page the client picks the service and the specialist first, then marks a free slot on the calendar and leaves their details. Which services appear in that flow is decided by the Show in online booking flag on the service card.

Can a second booking be written for the same staff member at the same hour?

Not while the staff clash check is on; the record will not land on the same hour twice. You can also turn off creating bookings in the past, and while that is off nothing can be written into yesterday's slot. Both checks are switched on to suit the salon's own way of working.

What happens if the client does not turn up?

The booking is marked No-show and stays on the record with that status. A booking that is called off is not deleted either; it stays as Cancelled. Both appear in the Appointment History tab on the client card with Date, Time, Staff, Service and Status columns.

How does the booking reminder reach the client?

The reminder is tied to a setting: you switch the notification on and decide the hour it goes out, and the client gets a reminder at that hour the day before the booking. While saving a booking you can also tick SMS and email sending specific to that booking and add your own note. Sending draws on your credit; you follow the remaining balance on the Package Usage screen.

What is the difference between a booking notebook and the software?

A notebook on the counter is a single copy; while whoever keeps it is on the phone or on leave, nobody has the day's plan. In Bi'Salon the booking stays tied to its staff member, its hour and its service, and everyone on the team opens the same day. No-show and Cancelled records are not deleted either; they stay in the client's history.
